The challenge


Before Impero, Aarsleff Group managed its controls environment through a combination of spreadsheets, email and shared folders.

The setup worked. But it was built for a different stage of the company’s journey. As the business expanded, maintaining visibility across entities became difficult. That’s where Impero came in.

As compliance requirements increased and more entities became part of the group, they needed a controls framework that could scale without becoming more complex. Controls were spread across multiple systems, follow-up was very manual, and scaling the framework further would require significant effort.

For Christian Ottosen, Financial Controller, the main challenge was getting an overview of what controls were completed. And beyond that, whether their growing internal control environment could remain scalable as the company grew, whilst regulatory requirements continued to evolve, and compliance expectations increased.

“With the setup we had before, it would be almost impossible to scale to where we are today — and where we’re trying to get to."


The solution


Aarsleff Group chose Impero as their platform of choice for risk & internal controls. The goal of implementing Impero was to streamline and bring their control environment together in a single framework.

“We've focused on implementing the key controls that work across our different entities. At the moment, we have over 65 controls across the finance function as well as data collection tasks.”

Rather than managing risks, controls, documentation, and reporting across multiple systems, everything could be structured in one platform.

“We can now go from risk evaluation to controls, to control execution, to reporting — all within one platform.” -
says Christian. This created a common foundation that could be used across entities while still allowing local teams to take ownership of their responsibilities.

“We've been able to scale our controls environment and make it work both for our Danish entities and our international entities.”

For Christian, the value was creating a risk & control structure that could continue to grow alongside the business.

“The Dashboard and Entity Management in Impero have made reporting even more valuable. We can now distribute reports directly to our local entities, our CFO, our board, and audit committee. That creates significant value for us.” -
says Christian.

The implementation

Impero’s ease-of-use and simplicity made the rollout successful for Aarsleff Group. As the administrator of the system, Christian was solely responsible for the implementation, training and rollout of their internal controls.

“We didn't spend a lot of resources on training. Impero is a simple framework and it's easy for end users to use. Because of that, we could focus our efforts on communicating the purpose of the controls rather than spending time teaching people how to use the system.” – says Christian.

Users were given responsibility, supported when needed, and allowed to use the system right away and learn by doing.

“We were able to focus on what mattered most: implementing controls, not implementing software.”
– highlights Christian.

This approach allowed Christian and the wider team to spend their time on governance, ownership and communication rather than system administration.

The rollout

As their control environment matured, Aarsleff Group gradually expanded its use of Impero.

The focus was not creating more controls. It was creating the right controls. The team identified key controls that could be applied consistently across entities while still allowing flexibility in how those controls were performed locally.

This allowed a balance between central governance and local ownership.

“One of our goals is to scale our controls environment without significantly increasing resources. Impero makes that possible...Going forward, we expect to continue expanding both our financial controls and our controls in other business areas.”

Today, controls are defined centrally and distributed across the organization consistently.

The team is also now using Entity Management in Impero to strengthen responsibility, reporting and visibility across its growing controls environment.

The results

Today, Impero is a central part of how Aarsleff manages internal controls. Risk evaluations, controls, documentation, and reporting are all connected within a single framework.

Aarsleff Group has been able to expand its controls environment while maintaining a clear overview of responsibilities, execution and reporting.

The reporting functionality has also become an important part of Christian’s daily work, providing visibility for stakeholders across the organization without relying on other tools.

“The reporting functionality is especially important because it allows us to distribute reports directly to stakeholders without relying on separate spreadsheets or Power BI solutions. Everything is collected in Impero, which gives us a complete overview.”

But perhaps the biggest benefit is confidence in that controls are being completed and that risks are being mitigated. Confidence that Aarsleff Group has visibility into what is happening across an increasingly complex business.

“Success is having confidence that controls are being completed effectively and that we’re covering the risks we need to cover.”
